The management decision
When a lightweight CRM trial no longer fits the work, how do you move to a fuller system without turning every newly discovered requirement into an unexamined promise?

The client
The client is an FMCG distributor with an export sales team and no prior shared CRM process. Sales activity, quotations and customer conversations lived in separate, informal channels.
The challenge
A promising start did not settle the product choice
The team had begun with a Zoho Bigin trial. It proved a shared CRM would help — but not whether Bigin was the right long-term product for the work ahead.
The full commercial workflow emerged in stages
Once sales activity sat in one place, further needs surfaced: structured quotations, order documents and a repeatable commercial process the export team could run without spreadsheets.
The messaging connection crossed a platform boundary
Customer communication had to run through WhatsApp, so the project now depended on Meta's platform and its own approval and configuration steps — outside both the client's and WiselyWise's direct control.
Our view
The value was in guiding the sequence of decisions as well as delivering the configuration.
What WiselyWise did
Use the trial to make a better product decision
WiselyWise treated the trial as evidence, not a rollout to finish, and recommended Zoho CRM Professional — not the top edition — matching the edition to the workflow actually required.
Build the sales foundation, then extend it
The core CRM went in first. The quotation and order workflow was scoped and approved as a separate stage once the business had decided it needed it.
Coordinate the WhatsApp and Meta work through completion
WiselyWise owned the coordination of connecting Zoho CRM to WhatsApp through Meta, and saw it through to confirmed completion.
Transfer the working process to the team
Training and reference materials let the export team run the process day to day, with follow-on support scoped separately.
The outcome
The record establishes the implementation, handover and integration milestones: the right CRM edition in place, an approved commercial workflow, and a completed WhatsApp connection.
It does not include a measured sales uplift, adoption rate or return-on-investment figure, so this case makes no such claim.
| Business need | WiselyWise contribution | Established result |
|---|---|---|
| A trial CRM too light for the full sales workflow | Recommended and implemented Zoho CRM Professional | Right-sized CRM foundation in place |
| No structured way to produce commercial documents | Quotation and order workflow as an approved second stage | Quotation and order configuration delivered |
| Customer messaging needed WhatsApp | Coordinated the WhatsApp/Meta integration to completion | Integration confirmed complete |
| Staff needed to run the process themselves | Training and reference materials | Training and materials delivered |
Key takeaways
A trial is a starting point, not process discovery
A lightweight CRM surfaces real requirements. It doesn't answer which product should carry them long-term.
Scope follows what the business has decided
The quotation stage was built when the client approved it — not assumed upfront.
Integration is a coordination job
A dependency on another platform still needs an owner who sees it through.
Delivery includes the handover
Training and materials are what let a team run the process without the vendor in the room.
What this case demonstrates
WiselyWise helped a distributor move from an insufficient entry point to an appropriately scoped Zoho CRM implementation, expanded the commercial workflow with approval, and completed the cross-platform communication connection.
